Introduction
L2 Foundry is committed to safeguarding the privacy and personal data of its staff, volunteers, partners, clients, and the wider communities it serves. All individuals connected to L2 Foundry have the right to understand how their data is used, stored, and protected.

All staff, volunteers, and directors of L2 Foundry.
All personal data processed by L2 Foundry, including (but not limited to) data relating to clients, staff, volunteers, third-party partners, and individuals who interact with L2 Foundry’s women’s sport and community groups and initiatives.

Women’s Sport Data Collection: A broad range of information—such as demographics, engagement metrics, participation figures, and other forms of feedback—aimed at understanding and holistically supporting the rise of women’s sport. This data helps to highlight an emerging field that relies on data-driven insights historically not captured.
Other Third Parties: Contact and organisational details for communication and collaboration purposes.
Legal Basis for Processing Data
L2 Foundry processes personal data under the following legal bases:
Consent: Individuals provide explicit consent for the processing of their data.
Contractual Obligation: Processing is necessary to fulfil contractual obligations with staff, volunteers, or clients.

Requests related to these rights should be directed to the Data Protection Officers (DPO) at L2 Foundry: Louise McGing or Leah Godfrey who will respond within one month.

Secure Storage: Data is stored securely, in both physical and digital formats, including password-protected systems and secure cloud platforms.
Access Control: Only authorised staff, volunteers, or partners have access to personal data, based on their roles and responsibilities.
Data Breach Response: In the event of a data breach, L2 Foundry will take prompt action to contain the issue, notify affected individuals if necessary, and inform the Information Commissioner’s Office (ICO) within 72 hours if legally required.
Data Retention
L2 Foundry will retain personal data only for as long as necessary for the purposes for which it was collected, in accordance with legal and regulatory requirements. Data is periodically reviewed, and any that is no longer needed is securely deleted or anonymised.
Data Sharing
L2 Foundry does not share personal data with third parties unless:
The individual or organisation has given explicit consent.

It is necessary to fulfil contractual obligations or legitimate interests, such as collaborating with partners to advance women’s sport, in which case anonymised data may be shared to maintain privacy.

L2 Foundry may use third-party service providers (e.g., cloud storage, analytics platforms) to process personal data. Contracts with these processors include data protection clauses to uphold individuals’ rights.
Staff and Volunteer Responsibilities
All staff, interns and volunteers at L2 Foundry are responsible for:
Keeping passwords and access credentials secure.
Sharing personal data only when necessary and appropriately authorised.
Reporting any data breaches or security concerns immediately to the DPO.

1.1 L2 Foundry: BOWS: Business of Women’s Sport and L2 Foundry: MEOWS: Art of Women’s Sport & BOWS: Technical are private, women-focused communities created by L2 Foundry. Our aim is to bring together individuals who share a commitment to the development and celebration of women’s sport. This Membership Policy sets out the guiding principles for joining and participating in these communities.
2. Purpose
2.1 Foster Collaboration
Provide a place where members can share expertise, opportunities, and insights in the women’s sport landscape.
2.2 Encourage Growth
Support members’ professional and personal goals through discussions, workshops, and networking.
2.3 Nurture Community
Offer a trusted space for meaningful connections, honest conversation, and mutual respect.
3. Eligibility
3.1 Women Only
Membership in BOWS, BOWS:Technical and BOWS:MEOWS along with other future community groups will be available exclusively to individuals who identify as women. This reflects the current need and demand for safe female only spaces in sport as evidenced in many recent UK & EU research and surveys results.
3.2 Shared Interest
Applicants should have an active or developing interest in women’s sport, whether professional, creative, or recreational.
3.3 Alignment with Values
Members are expected to embrace a spirit of collaboration, open-mindedness, and respect for the experiences of others within the group.
4. Application Process
4.1 Submission
Prospective members complete a brief application form, outlining their involvement or interest in women’s sport.
4.2 Review
All applications are reviewed by the L2 Foundry team to ensure alignment with the mission and ethos of BOWS Community Groups.
4.3 Notification
Applicants will receive confirmation of their membership status once the review process is complete.
5. Membership Expectations
5.1 Respectful Conduct
Engage in discussions with civility and empathy, appreciating the variety of perspectives represented.
5.2 Confidentiality
Maintain discretion regarding any sensitive or personal information shared within the community.
5.3 Constructive Participation
Contribute positively by sharing experiences, offering support, and remaining open to learning.

This Membership Policy may be updated periodically to reflect the evolving nature of BOWS Community Groups or any additional community groups by L2 Foundry. Any significant changes will be communicated to members in advance.
